On the Escalar plan you connect your WhatsApp to LiveClin by scanning a QR code. From then on, questionnaire delivery, response reminders, and plan expiry reminders all go out from your own number rather than the system’s number.

Prerequisites

Before you start, you need:
  • An Escalar plan subscription.
  • The phone with the WhatsApp account you want to connect, on hand.

What changes when you use your own number

Higher adherence. The patient sees the message came from you, not from a third party’s number. That tends to raise the questionnaire response rate. No number confirmation. On the Pro plan, the patient has to message the assistant to confirm the number is theirs. Since the message here comes from your own number, that step disappears — one less point of friction between the patient and the questionnaire. Custom messages. LiveClin’s shared number uses standardized text, identical for every professional. With your number connected, you write your own messages.

How LiveClin sends from your number

There are two ways to send messages from your own number, and each one has its trade-off. The Escalar plan uses the unofficial API, through Z-API, a Brazilian service that connects to WhatsApp by QR code. It costs around R$ 100, and that amount is already built into the plan’s monthly price — part of why Escalar costs more than Pro.
The unofficial API was chosen for its fixed cost. On the official API, Meta classifies each message and charges accordingly. In a simulation with 25 patients receiving a questionnaire every day, the bill lands around R$ 26 as long as Meta treats the message as utility. If it reclassifies the same send as marketing, the cost jumps to R$ 243.
That reclassification happens without warning and demands constant review. LiveClin uses the official API on its shared number and reviews the templates every week precisely to prevent it. If you want to use the official API yourself, it is available on the Pro plan through webhooks, but it only pays off if the extra security is a priority and you are technically comfortable with automations.

How to connect your number

Open integrations

In the sidebar, go to Settings → Integrations and find the WhatsApp field.

Generate the QR code

Click to display the QR code. It appears on screen while no number is connected yet.

Scan it with your phone

Point your phone’s camera at the screen and finish the connection in WhatsApp, the same way you would with WhatsApp Web.
Once connected, every send goes out from your number.

How to customize the messages

Go to Reminders and pick the message type you want to edit. Click the bubble next to the type to create the templates that will be sent to your patients. Inside a template you insert variables that LiveClin replaces at send time:
  • Patient’s first name, shown as [Client First Name] in the editor.
  • Questionnaire title.
  • Questionnaire due date.
A template looks like this:
Hi [Client First Name]! Your questionnaire is ready to be answered.
Below the message, the patient gets the button to answer the questionnaire. You customize the three message types independently: new questionnaire, service completed, and response reminder.

How to lower the risk of being blocked

Because the unofficial API is not a Meta-verified service, there is a risk the number gets blocked if the sending pattern looks like mass automation. Two practices cut that risk considerably.

Register at least ten templates per message type

LiveClin picks a different template at random for each patient at send time. With ten templates registered, fifty patients receive varied text instead of the same repeated message, making it harder for Meta to spot an automation pattern.
The GPT button opens an agent that generates ready-made templates. It asks whether you are a man or a woman to adjust the writing, and returns ten messages per round. Just copy and paste them into LiveClin.

Spread out the send times

When you link a questionnaire to a patient, shift the time by a few minutes relative to the others. If you usually send at 07:00, use 07:05 for one patient, 07:08 for another, 07:12 for the next. You do not need to reorganize your whole base at once. Adjust as you register new patients. The effect is that questionnaires stop going out all in the same minute, which also moves them away from looking like spam.
These practices reduce the blocking risk, but it is never zero. Avoid sending questionnaires to people who are not your patients: reports are the fastest route to having the number taken down.
