Prerequisites

Before you start, you need:
  • A Liveclin account with access to Settings.
  • A questionnaire already created. See how to create a custom questionnaire.
  • Active patients in your base.
To receive questionnaires, the patient must confirm their WhatsApp number. On the Pro plan this confirmation is required; on the Scale plan, it is not. Ask the patient to confirm while the status shows as pending.

Step by step

Open the questionnaire scheduling

Go to Settings → Questionnaires → Questionnaires. In the list, find the questionnaire you want (for example, “Weekly review”) and click Schedule.

Link the patients

Click link new patients. Liveclin shows the active patients who don’t have that questionnaire yet. Select who should receive it and click Continue.

Choose and configure the sending mode

Select one of the four sending modes. All of them let you set the time and a response deadline (in hours, in Brasília time).
Sends the questionnaire only once. Choose send now (immediate) or schedule a future date. The response deadline starts at send time — for example, a send with a 48-hour deadline closes two days later. Adjust the hours to close at the exact time you want.
Repeats the send on one or more days of the same week. Mark the days (for example, Monday, Wednesday, and Friday) and set the start date — when the schedule takes effect — and the time. The send always respects the marked days: if the start date falls on an unselected day, the first send happens only on the next marked day. The default response deadline is two days.
Best for longer recurrences. Choose the frequency (weekly/7 days, biweekly/every 2 weeks, every 3 weeks, and so on) and the send date — which is the actual date of the first send. The sends repeat on the same weekday until the end of the client’s follow-up.Under send duration, choose no end date (sends while the patient is active) or with an end date (sends stop on the date you set).
Offers the most flexibility: you register date by date. For each send, set the date, the time, and the response deadline, then add it to the schedule. There is no recurrence — each send happens exactly on the date you entered.

Link and review the schedule

Confirm to link the questionnaire. You’ll then see which patients are tied to it. To review the dates, click Actions → View schedules: Liveclin shows when it starts, when it ends, and which sends are scheduled. If you want, download the send schedule.
You can also schedule without going through the questionnaires screen. Go to Patients, open a patient, enter the Questionnaires tab, and use the link questionnaires option — scheduling works the same way.
